DigitalNation BMS — Products & Inventory

“Bhai, how many chargers do we have?”

You look up. You’re not sure.

Maybe 8 pieces? Maybe 12? You sold three last week, but the week before too. There’s also the display piece — is that counted?

You walk to the back. Open the drawer. Count. Recount. Check against the shelf. Some pieces are still in the delivery box from the last supplier. Some are on the counter display.

Ten minutes pass. And you still haven’t answered the customer.

DigitalNation BMS (Business Management Software) answers in one second.

Type the product name. The screen shows:

  • Exact stock — real-time, no counting
  • Purchase price — what you paid
  • Sale price — what you charge
  • Low-stock alert — when to reorder
  • Every variant — RAM, color, size — all listed
  • IMEI history — for serialized items

One screen. One answer. Two seconds.

Every product, fully tracked

In BMS, every product gets:

  • Full profile — name, brand, category, image
  • Live stock — real-time across all variants
  • Purchase and sale prices — with margin calculated
  • Low-stock alerts — set your own threshold
  • Warranty tracking — per product, days/weeks/months
  • IMEI records — for serialized items
  • Category and brand — organized, searchable
  • Bulk import — bring in your old Excel data

No more notebooks. No more half-day stock counts. Every product behind one name.

Don’t worry. DigitalNation Support is with you:

  • Rebuild stock from IMEI records
  • Via WhatsApp or call, quickly

We never change your data silently. Every correction is dated and logged.

The 3 product types

BMS handles three kinds of products. You pick the type when you add a new one.

Type 1 — Simple Product

What it is: A single item, no options, no IMEI.

Examples:

  • Battery China — Rs. 345, 63 pieces
  • Charger — Rs. 250, 16 pieces

When to use: When the product only comes in one form — accessories, batteries, cables, general items.

Stock calculation: Direct. Add 63 pieces → stock shows 63. Sell 5 → 58.

Type 2 — Variant Product

What it is: One product with multiple options — like RAM sizes, colors, or shirt sizes.

Examples:

  • OPPO A6 Pro — 4GB/128GB, 6GB/128GB, 8GB/256GB
  • T-Shirt — Small, Medium, Large

When to use: When the same product has multiple versions — each with its own price and stock.

Stock calculation: Each variant has its own stock. Total = sum of all variants.

Type 3 — IMEI Serialized Product

What it is: Each unit has its own unique IMEI or serial number.

Examples:

  • Mobile phone — IMEI 356938035643809
  • Laptop — Serial No. ABC123456

When to use: For high-value items where every unit must be tracked — mobiles, laptops, tablets. Required for warranty claims.

Stock calculation: Each IMEI = 1 unit. Add a new IMEI → stock increases.

Frequently asked questions

How do I track IMEI numbers for mobile phones?

When adding a mobile phone product, turn on the “IMEI” feature. Each unit gets its own IMEI slot. When you sell one, you pick the exact IMEI — the system records who bought it and marks it sold.

Can I sell partial stock of a variant?

Yes. Each variant (RAM, color, size) has its own stock count. You can sell from one variant without affecting the others.

What happens when stock hits zero?

The system warns you with a Low Stock Alert. You can also set a custom threshold — for example, “alert me when stock drops below 5 pieces.”

How do I add 100 products quickly?

Use the CSV Import feature. Download the empty template, fill it in Excel, and upload. All 100 products are added in seconds.

Can I have two products with the same name?

Yes. If you sell the same product from different brands or in different conditions (new vs refurbished), they can have the same name — the system tracks them separately.

Important notes

💡 Set low-stock alerts Don’t wait until you run out. Set a low-stock threshold per product — the system tells you when to reorder.

💡 Add purchase price for accurate profit The purchase price helps the system calculate your real profit on every sale. Enter it once when you add the product.

💡 Use categories With 50+ products, categories keep things organized. “Accessories”, “Chargers”, “Cables” — simple groups.

💡 Deactivate, don’t delete Old products you no longer sell should be deactivated, not deleted. Past sales and reports stay intact.

Flow

Add product → Set price → Set stock → Choose features
    ↓
Sell → Stock reduces → IMEI marked sold → Ledger updates
    ↓
Restock → Add new units → Low-stock alert clears
    ↓
Reports → Stock value, low stock, expired warranty
    ↓
Result: No more counting. No more "I'll check".
