DigitalNation BMS — Suppliers

A new supplier walks in. Then what?

“Bhai, where did I write the CNIC?”

You dig through papers. Search the drawer. Old receipts. No CNIC anywhere.

The supplier stands there. A little embarrassed. So are you.

“Never mind. Just give me your phone number.”

Then six months later, that supplier vanishes. You have no address, no CNIC, no photo.

If something legal happens with him? You have nothing.

DigitalNation BMS (Business Management Software) ends this.

When you add a supplier, you fill in their details once:

  • Name and company
  • Phone and WhatsApp
  • CNIC and NTN (business tax number)
  • Address, area, city
  • Opening balance (if there’s prior credit)
  • Notes — anything specific

Done. Once. Never again.

Now whenever you need it — search, and it’s in front of you.

Every supplier, a complete profile

In BMS, every supplier gets:

  • Full contact details — name, company, phone, WhatsApp
  • CNIC and NTN — for legal protection
  • Address and city — for slips and verification
  • Current balance — what’s owed or paid in advance
  • Total purchases — over any period, full history
  • Payment history — every payment, with method
  • Returns record — what came back
  • Portal access — the supplier can check their own account

No scattered receipts. Behind every supplier’s name — everything.

Frequently asked questions

What is the Supplier Portal?

Every supplier gets a DigitalNation portal where they can log in and see their own account. Read-only — they can’t change anything.

Can one supplier serve multiple vendors?

Yes. In DigitalNation, a supplier has a global account. They see multiple vendors’ accounts from one login. Separate ledger per vendor.

When is the supplier's portal account created?

Automatically. When you add a supplier, the system creates the portal account immediately and emails the login details.

Is CNIC mandatory?

Not mandatory, but very useful. If you buy on credit or there’s a legal matter, CNIC is your protection.

How do I verify a supplier's CNIC?

DigitalNation records the CNIC number but does not verify it — that’s your responsibility. Get a paper copy and keep it on file.

Can I email a supplier from the system?

Yes. Build the ledger PDF and send via email. The system will open your email client.

Can a supplier's balance be negative?

Yes. If you paid more than you purchased (advance), the balance goes negative — meaning your advance is with them.

Will deleting a supplier delete their purchases?

Yes. That’s why you should deactivate instead of delete. Records stay preserved.

Important notes

💡 Always keep CNIC and address A complete supplier record is your legal protection. File the paper copy alongside.

💡 Enter opening balance correctly If there’s an old account running, enter the correct opening balance — future accounts stay clean.

💡 Tell suppliers about the portal When a new supplier joins, tell them they have their own portal. They’ll check themselves, your calls reduce.

💡 Ledger PDF once a month Send every supplier their ledger PDF at month-end. Keeps the relationship professional, accounts clean.

💡 Deactivate, don’t delete Old suppliers — don’t delete. Deactivate. Past purchases and payments stay preserved.
