DigitalNation BMS — Collection

First of the month. You know nothing.

“Who do I collect from today?”

The question comes every month. You open the notebook. Check the schedule. Flip pages. Some customers are missed, some dates shifted, one said he’d pay next week.

Hours pass. Half a day gone just to figure out — who’s paying today.

And then evening comes — and you realize three customers slipped past. One was due 15 days ago. One a week ago.

Every forgotten day is a lost opportunity.

DigitalNation BMS (Business Management Software) ends this.

At 10 AM you open the dashboard. Go to Collection.

The screen shows:

  • Today’s collection — who’s due, how much, when
  • This week — upcoming customers
  • Overdue — who’s late
  • Total due — expected collection this month
  • Total received — what’s come in so far

One screen. One moment. Your whole day ready.

Every installment, fully detailed

In BMS, every collection comes with:

  • Customer — name, phone, photo
  • Agreement number — if it’s an installment
  • Installment number — which payment
  • Amount due — how much to collect
  • Status — today / overdue / partial
  • Promised date — if the customer promised one
  • Last contact — when the reminder was sent
  • One-click payment — record receipt

Morning plan — ready in ten seconds.

Partial payment — how it works

When: The customer didn’t pay the full installment, paid some.

How:

  1. Select the customer → “Record Payment”
  2. Enter the partial amount (not the full)
  3. System shows the remaining amount automatically
  4. Click “Save”

After this:

  • Remaining amount stays due on this installment
  • The customer won’t move to overdue (unless the schedule date passes)
  • When they pay the rest — use “Record Payment” again

💡 Pro tip: Record partial payments against the same installment — don’t create a new one. Keeps accounts clean.

How:

  1. Select the customer → “Set Promised Date”
  2. Pick the date
  3. Notes — “coming Thursday”
  4. Click “Save”

After this:

  • The customer drops off the overdue list until the promised date
  • On that date, they reappear automatically
  • You get an alert

Frequently asked questions

Will a partial payment push the customer into overdue?

No. If you record a partial payment, the system applies it to the same installment. The remaining amount is carried forward or stays due on this installment — depending on your settings.

Can I record payments from mobile?

Yes. BMS works fully on mobile browsers. From home, from the counter, from anywhere.

How are auto-reminders sent?

BMS prepares the message (with name, amount, date), but sending requires your confirmation. You can also edit before sending.

Can the system send WhatsApp reminders automatically?

Automatic sending is not available currently. You need to click “Send Reminder” — then WhatsApp opens. This keeps your number protected and prevents wrong messages.

What if the customer shows up a month late?

No problem. However many installments are due, all are recorded. The system auto-applies FIFO (oldest first).

Can I generate a separate overdue report?

Yes. The overdue tab has a full list — color-coded (1-30 days, 31-60 days, 60+ days).

Can I send receipts via WhatsApp?

Yes. Build the receipt PDF → click “WhatsApp” → customer’s number → message ready.

Important notes

💡 Check every morning Look at the collection list every day at 10 AM. Your day plans itself, nothing gets forgotten.

💡 Record payments immediately If the customer is paying, record it right away. “Later” means you’ll forget.

💡 Write down promised dates If the customer promises again — write the date. You won’t forget.

💡 Hand the customer a receipt Even a small receipt looks professional. The customer has proof.

💡 Don’t be soft on overdue If it’s over 30 days late, send a reminder. Being soft hurts your business.

💡 Record from mobile immediately From home, on the road, from anywhere — record from mobile. Never forget a payment.
